How Do I Email or Text an Applicant?

Steps to email or text applicants from the applicant record.

Overview

This article is for Admins, Posting Managers, Non-Posting Managers, Assigned Users, and Viewing Managers who need to communicate with applicants. It explains how to send email and text messages from within the applicant record. Viewing Managers can view conversations, but cannot initiate or respond to applicants.

Important: You can text only one applicant at a time. You can email multiple applicants at once.


Email or Text an Applicant

Follow the steps below to email or text an applicant from their record.

Open Messaging

  • From within the applicant record, select the Send Messages button toward the upper-right corner.

  • The Communication Inbox opens.

Compose and Send

  • From the Select Template to Send dropdown, select a template.

  • If sending an email, update or add a Subject.

  • Update or add the content of the message.

  • Select Send as Email or Send as Text.


Reporting/Troubleshooting/Best Practices

  • Permissions and visibility: Admins, Posting Managers, Non-Posting Managers, and Assigned Users can initiate and respond to applicant messages; Viewing Managers can view conversations only.

  • Message type limits: Use email for multiple applicants at once; texts are one-to-one only.
