Grant User Access To ProScreening Background Checks

Grant and configure ProScreening permissions so users can order and view background check reports.

Overview

This article is for administrators who manage background check permissions in the ATS. It explains how to find a user, open their profile, and configure ProScreening access in HR Fuse Settings so the user can order background checks, view completed reports, and receive appropriate notifications.


Granting ProScreening Background Check Access

Follow these steps to enable and configure ProScreening permissions for a user.

Open Users And Select The User

  • Select Action next to the career site and choose Users from the dropdown.

  • Or, select the Ellipses Menu and choose Users.

  • Select the tab for the user’s role to manage access for that user type.

Edit The User Account

  • Find the user and select Action, then choose Edit.

  • The update form displayed may vary based on the user’s role.

Configure ProScreening In HR Fuse Settings

  • Scroll to HR Fuse Settings toward the bottom of the form.

  • If more than one integration is enabled, select the ProScreening tab.

  • If default permission settings were established during integration setup, they will already be selected. Adjust as needed.

Important: Users cannot order or view reports unless access to the Background Check tab is granted.

Set Background Checks Access

  • In the Background Checks Access section, select the permissions to grant:

    • Access Background Check tab.

    • View Completed Background Check Reports.

    • Order Background Checks.

  • If you select Order Background Checks, a CC Notifications dropdown appears so you can copy additional users on the completed report email. Use the arrow controls to move users into the copied list.

Configure Notification Settings

  • Choose when the user should receive email notifications:

    • Only on orders I placed: The user receives notifications only for orders they create. They are available in CC Notifications.

    • Always get notified: The user receives notifications for all orders and will always be listed as an Assigned User in CC Notifications.

    • Never get notified: The user never receives notifications and will not appear in CC Notifications.

Save Permissions And Profile

  • Select Update Permissions inside the HR Fuse Settings box.

  • Select Submit to save the overall user profile changes.

Important: You must select Update Permissions inside the HR Fuse section before selecting Submit, or your changes will not be saved.


Reporting/Troubleshooting/Best Practices

  • Error when opening background checks: If a user selects the Background & Drug Screen tab and sees “It appears you do not have access to this integration,” ensure their ProScreening permissions are granted in HR Fuse Settings. If problems persist, contact your account administrator.

  • Default permissions: Default ProScreening permissions can be set during integration setup. If you want defaults established or changed, please contact the Support Team.

  • Save sequence: Always select Update Permissions inside HR Fuse Settings first, then select Submit on the user profile.


FAQs

I get an error when I select the Background & Drug Screen tab. What does it mean?

  • The user’s permissions are not set for ProScreening. Grant access in HR Fuse Settings > ProScreening. If it still appears in error, contact your account administrator.

Do I need to configure HR Fuse settings every time I create a user?

  • No. Default ProScreening permissions can be applied during integration setup. To establish defaults, contact the Support Team to discuss available options.

I selected Update Permissions, but nothing changed. Why not?

  • You must select Update Permissions inside the HR Fuse Settings box and then select Submit to save the user profile.
