How Do I Manage Users In the ATS

Update roles, reset passwords, and archive or restore user access to keep your system secure.

Overview

This article is for administrators who manage user access and permissions. It explains how to access user tabs, send password resets, review user access, filter users, edit users, and archive or unarchive users. It also includes troubleshooting guidance for common user‑management errors.


Managing Users

Use the steps in each section to maintain accurate and secure user access.

Access Users Tabs

  • Select the Menu icon in the header and choose Users.

  • If you land on the Career Websites page by default, select Action for the desired career site and then choose Users.

Send Password Reset

  • You land on the Administrators tab by default.

  • Select the matching user tab for the user’s role (for example, Managers if the user is a Posting Manager).

  • Find the user, select Action, then choose Send Password Reset.

  • The user receives an email with instructions to change their password.

Review User Access

  • For organizations with multiple career sites, the Assigned Career Sites column displays for Administrators and Assigned Users. Hover over View Career Sites to see assigned sites.

  • For Managers, the Assigned Department/Jobs column displays. Hover over View Department or View Jobs to see assigned career sites and department(s)/job(s).

Note: For organizations with more than 250 employee users (active or archived), the Employee Users tab automatically shows alphabetical pagination (by last name) and a special characters tab. This improves list load times and makes it easier to reach the functions at the bottom of the page.

Use Access Filters

  • Administrators with multiple career sites can filter users by career site. Select a site from the dropdown and choose Filter.

  • Managers can filter by department. In multi‑site accounts, each career site and its departments are listed.

  • If the Assign Managers by Job feature is enabled, check Only Show Managers assigned by Job Listing to filter by job‑level assignments, then choose Filter.

Edit Users

  • Find the user, select Action, then choose Edit to open the Update User form.

  • You may edit a user’s email, user type, access level, application permissions, and any optional permissions (if enabled). You cannot change an individual user’s name.

  • To change a user’s role, select a new role from the Change User Type dropdown. A reminder displays: After you save this user, navigate to the tab for the new role and verify their privileges are set correctly.

  • For users with “Accepted” status, a User Information section also appears.

  • Select Submit to save changes, or select the X in the upper‑right corner to exit without saving.

  • If you changed the user’s role, go into the user profile to update permissions as needed.

Archive And Unarchive Users

  • Archiving moves a user from the active list to the archived list. The user can no longer access the system. Notes and actions remain visible, but archived users no longer appear in dropdowns for spotlighting, messaging, and similar tasks.

  • To view archived users, select Show Archived on the corresponding user role tab. Select Show Active to return to the active list.

Archive a user

  • Find the user, select Action, then choose Archive.

  • When prompted “Has this person left the company?”, select Yes or No.

  • The user is moved to the archived list and loses access immediately.

Unarchive a user

  • Go to the corresponding user role tab and select Show Archived.

  • Find the user, select Action, then choose Unarchive.

  • The user returns to the active list with a Pending status.

  • Select Action, then choose Send Invite for the user to complete registration.


Reporting/Troubleshooting/Best Practices

Troubleshooting Error Messages

  • Email addresses and usernames must be unique across the entire isolved Talent Acquisition database (not just your organization).

  • If you see an error that the email or username already exists:

    • Verify the email/username is entered correctly on the new user form.

    • Check each user role tab for an existing user with that email/username; update their profile if needed.

    • Check archived users across each role tab; if found, unarchive and update the profile as needed.

    • If you still cannot locate the user with that email/username, please contact the Support Team for further assistance.

FAQs

Who can manage users?

  • Administrators can edit or archive users and send password resets from the Users tabs.

How do I send a password reset?

  • Go to the user’s role tab, select Action, and choose Send Password Reset.

How do I filter users by site or department?

  • Administrators can filter by career site using Filter. Managers can filter by department and, if enabled, use Only Show Managers assigned by Job Listing.

Can I change a user’s role?

  • Yes. Select Edit and use the Change User Type dropdown. After saving, verify the user’s privileges on the new role tab.

Can I change a user’s name or password?

  • Passwords can be updated via Send Password Reset. The source contains conflicting guidance about name changes. The steps state name changes are not allowed, while this FAQ originally stated they are. Please confirm your environment’s capability.

What happens when I archive a user?

  • The user loses system access immediately but remains in records for notes, actions, and reporting. Use Show Archived to view them and Unarchive to restore access (then Send Invite).
