This article is for all users of the ATS. It explains the four primary user roles, their permissions, and how to check your assigned role. Providing managers with logins speeds hiring and improves collaboration. Your account includes unlimited user logins at no additional charge.
User Roles And Permissions
Understand what each role can do in the system.
Administrator
Has access to all parts of the system, including Settings and Reports.
Can manage users (add, update, archive) and send password update requests.
In multi‑site environments, can be granted access to one or more career sites.
Additional administrator access features are available for flexibility.
Managers
Restricted users with access to specified business unit(s)/department(s) as assigned by an administrator.
Can view only the applicants they are permitted to access.
Can create and submit job requisitions for approval if the feature is enabled and permission is granted.
In multi‑site environments, can be granted access to one or more career sites with the same role and permissions.
Posting Manager
Can post positions and manage applicants within assigned business unit(s).
Can update statuses and communicate with applicants.
Can create job screening questions and job templates if permission is granted.
Non‑Posting Manager
Can manage applicants within assigned business unit(s).
Can update statuses and communicate with applicants.
Cannot post jobs.
Viewing Manager
Has viewing privileges only; cannot change statuses or communicate with applicants.
Often allowed to make notes on applicants since this role typically reviews applications.
Assigned Users
Have the same applicant access as a Non‑Posting Manager.
Only see applicants specifically assigned to them rather than all applicants by job or by business unit.
In multi‑site environments, can be granted access to one or more career sites with the same role and permissions.
Contacts
Designed for scenarios where regular system access is not needed (for example, a CEO).
Used to set up group email notifications, send an application via email to someone outside the system, or approve requisitions.
Note: You can request a feature to assign Non‑Posting and Viewing Managers to specific jobs rather than entire departments.
How To Find Your User Role
Use your account profile to verify your current role.
Select the Utility Menu icon and choose My Account.
You land on the User Profile tab by default.
Your designated role appears at the bottom of the User Settings box.

How do I find my user role?
Go to My Account. On the User Profile tab, check the bottom of the User Settings box for your assigned role.
