How do I process a Data Export?

Request, download, and access Self‑Serve Data Export files in the ATS.

Overview

This article is for administrators who need to export system data from the ATS. It explains how to enable access, initiate an export, select career sites, retrieve the email link, download and extract files, and locate the export from the Reports dashboard. It also includes troubleshooting for common ZIP errors.


Processing a Data Export

Follow the steps below to enable, initiate, and retrieve your export files.

Step 1: Enable and Access Data Export

  • If Self‑Serve Data Export is not enabled, an administrator can contact the Support Team to request enablement.

  • Once enabled, you will see Data Export in your account details and as a tab under Reports.

Step 2: Initiate an Export

  • Open the Kebab Menu in the header and select My Account.

  • In the left navigation, select Data Export.

  • On the Export Data screen, select a reason from the dropdown and then select Submit.

    • If you select “Other,” you must enter a reason before selecting Submit.

Reason‑based guidance

  • If you select “Trying to export data for an audit,” “Trying to export to sort applicant data,” or “Trying to export for use in another business tool,” you will be prompted to select Go to Report Builder tool and redirected to Report Builder.

  • If you select “Trying to export new hires to push into my payroll system,” you will be invited to contact your account manager to discuss possible integrations.

  • If you select “Trying to export for use in another ATS,” “I want to look at my export options...,” or “Other” and then select Submit, the export process continues.

Step 3: Choose Career Sites and Submit the Request

  • Select the checkbox next to each career site to include in the export, then select Submit Export Request.

  • Use Select All or Select None as needed.

Important: Additional data exports are not available until the existing request is completed.

Step 4: Retrieve the Email and Download

  • You will receive an email within 48 hours with the subject line “Data Export Ready for Download.”

  • The email is sent from [email protected]

  • Select the link in the email to go to the Data Export page under My Account.

  • In the Current Available Exports section, follow the on‑screen instructions and download the ZIP file(s).

Important: The export URL is valid for 14 days from the time it is generated. Guard this data and do not share the link; anyone with the link can access the exported files.

Step 5: Extract and Access the Files

  • After the download completes, extract the ZIP contents to a new folder on your computer.

  • Access the data from that folder.

  • The ZIP contains application data in comma‑separated value (.csv) format.

Note: You might need an additional application to extract the downloaded ZIP files.

Step 6: Access Data Export From Reports (Alternate Path)

  • Go to Reports.

  • Select the Data Export tab to access export options.


Reporting/Troubleshooting/Best Practices

Compressed ZIP Folders Error – Unable to Download Resumes

  • Error name: Compressed (zipped) Folders Error.

  • Error message examples:

    • “Windows cannot open the folder.”

    • “The Compressed (zipped) folder (folder location) is invalid.”

  • This commonly occurs when working with resume export ZIP files from isolved Talent Acquisition on Windows.

To resolve:

  • Follow the instructions in the referenced article on fixing “The Compressed zipped folder is invalid” error. Many customers resolve this by using the 7‑ZIP option.

  • If issues persist, you may need to ask someone from your IT department to prepare your machine or another machine to unzip the files.


FAQs

Is there any charge to enable this feature?

  • No. This is available to everyone; it only needs to be enabled.

When will I get my export?

  • You will receive an email with a URL to the export within 48 hours after initiating the export request.

How will the data export be delivered?

  • The requesting user receives an email with a link to ZIP files containing application data in .csv format.

Will I need a password to access the data?

  • No. The secure email link does not require a password.

How long is the data accessible?

  • The URL to access the exported files is valid for 14 days from when it is generated. After downloading, extract the ZIP to a new folder before accessing the files.

What information is included in the export?

  • See “What data is included on a data export from isolved Talent Acquisition?” Some features are optional or may be unused and will not be included. If collected, the Applications .csv includes EEOC information.

How do I match resume files with the application files?

  • Resume files include the applicant’s name and application ID to match the resume file to the application record.
