Overview

This article is for administrators who download Self‑Serve Data Export files. It explains how to access the export, understand the folder structure, and use the Resume File Names list to locate and open the matching resume documents in the Resumes folder.

Finding Resume Files From a Self‑Serve Data Export

Follow the steps below to request the export, access the files, and match resumes to applications.

Step 1: Request and Access the Export

  • Confirm access to the appropriate career sites; administrators can request export files only for career sites they can access.

  • If Self‑Serve Data Export is not enabled for your organization, an administrator can contact our Support Team to request that Self‑Serve Data Export be enabled.

  • After your request is submitted, watch for an email within 48 hours indicating that your files are ready.

  • Open the email and select the secure link to the export URL; no password is required to download the files.

Important: The export URL is valid for 14 days from when it is generated.

Step 2: Download and Extract the Files

  • From the export page, locate the Current Available Exports area.

  • Select the link for Resume files to download the resume documents. A separate link for Application Data is also provided.

  • After the download completes, extract the contents of the ZIP file to a new folder on your computer.

Tip: Extract the ZIP to a dedicated folder before opening files to avoid permission issues and to keep folders organized.

Step 3: Understand the Folder Structure

  • For each career site included in your request, you will see one Data folder and one Resumes folder.

  • The Data folder contains multiple .csv files; each filename indicates the type of data on that spreadsheet.

  • One of the CSVs in the Data folder is the Resume File Names list. This list corresponds to the documents under the Resume tab on the application record.

Step 4: Use the Resume File Names List

  • Open the Resume File Names CSV in the Data folder.

  • Review the columns for the following:

    • The Application ID for each application.

    • The Original File Name of the uploaded resume.

    • The Local File Name, which is the exact filename used in the Resumes folder.

  • Use the Local File Name to identify the matching file in the Resumes folder.

Example: Mapping Local File Name to the Resumes Folder

  • Example record details:

    • Application ID:

    • Original File Name:

    • Local File Name:

  • The Local File Name is a combination of the Application ID and the Original File Name. It matches the file displayed under the Resume tab on the application record and the corresponding document in the Resumes folder.

Step 5: Open the Resume Document

  • Open the career-site‑specific Resumes folder (for example, the Career Site _Resumes folder).

  • Search by the exact Local File Name you identified in the CSV.

  • Open the file to view the uploaded document.

Important: If you need further assistance with the data export files, please contact our Support Team.
