Overview

This article is for Admins who need raw CSV exports for audits, third‑party reporting, or importing data into other systems. It explains how to request exports, download and unzip files, and what each folder and file contains.


How To Request And Download Data Exports

Follow these steps to request access, receive the secure link, and download your export files.

Before You Begin

  • Request access from Support if Self‑Serve data export is not already enabled.

  • Confirm which career site(s) you need exports for and that you have Admin access to those sites.

Request The Export

  • Contact Support to enable Self‑Serve data export on your account if required.

  • Request exports for the career site(s) you manage and confirm the delivery email address.

How It Works

  • An Admin can request exports for any career site they have access to.

  • Within 48 hours, an email is sent to the requesting user with a secure link to the exported files.

  • The download link is valid for 14 days from the time of generation.

  • Important: The export link is sent securely and does not require a password, but it expires after 14 days.

Receive And Access The Export

  • Open the email you received and click the secure export URL.

  • Download the two ZIP files for each career site: one with the Data Folder and one with the Resume Folder.

  • Save the ZIP files to a new folder on your computer before extracting.

Unzip And Open Files

  • Double‑click each export.zip file or use your preferred archive tool to extract contents.

  • After extraction, you will see two folders per career site (example names):

    • Data Folder, for example: 742_4_20220108_193021_export.

    • Resume Folder, for example: 742_4_20220108_194758_resumes_export.

  • Double‑click each folder to view the CSV files (data) and document files (resumes, cover letters).

  • Note: You may need an additional application to extract ZIP files on some machines.


Understanding The Export Contents

The export includes two main folders per career site: a Data Folder containing CSVs and a Resume Folder containing applicant documents.

Data Folder Contents

Application Record Data

  • Applications: Application ID, job listing ID, application date, applicant contact info, source, and EEOC/Voluntary Disclosure if collected.

  • Application Answers (Additional Questions): Answers attached to each application.

  • Educations: One row per education entry with the same Application ID for multiple records.

  • Employment: Employment history rows per application.

  • Job Questions Answers: Applicant answers to job screening questions; multiple rows per applicant.

  • References: Reference contact info if the Reference Check feature is enabled.

Application Actions

  • Application Forward History: Forwarding events and recipients (if enabled).

  • Applicant Invite History: Invite records and notes.

  • Assigned History: Assignment events for Assigned Users.

  • Email History: Email activity related to applications.

  • Note History: Timeline notes and system actions.

  • Ratings: Disposition/rating history if the feature is enabled.

  • View History: Record view events by users and contacts.

Job Listings Data

  • Job Listings: Creator, department, dates, location, title, description, pay info, and other listing details.

Requisitions (If Enabled)

  • Requisitions: Requisition metadata and status.

  • Requisition Approvers: Approval chain and history.

  • Requisition Answers: Answers entered by requestors.

Setup Data (Admin/Configuration)

  • Application Questions: Additional question groups and setup fields.

  • Job Questions: Job question groups and configuration.

  • Job Templates: Template settings and assigned screening questions.

  • Email Templates: Inbox templates and body text.

  • Rating Titles / Requisition Questions: Setup lists related to enabled features.

Resume Folder Contents

  • Resume File Names: Maps Application ID to original file name and local file name.

  • Attached File Names: List of all uploaded files (applicant and admin), filenames only.

  • Admin File Names: Names of files uploaded by system users (documents not included in export).

  • Resume Folder: Contains applicant‑uploaded documents (resumes, cover letters). Files are named to include the applicant’s name and Application ID to match records.

  • Note: Admin‑uploaded documents are listed, but their actual files are not included in the export.


Reporting/Troubleshooting/Best Practices

  • If you do not receive the email within 48 hours, confirm the request status with Support.

  • If the download link has expired, request a new export.

  • If CSV cells truncate or hide content, double‑click the cell or open the file in a text editor to view full values.

  • If ZIP extraction fails, try an alternative archive tool (for example, 7‑Zip or the OS-native extractor).

  • Important: Raw data is unprocessed and may not be easy to read. Use standard reports or Report Builder for a formatted view when possible.
