Overview
This article is for all users who order or review background checks in the ATS. It explains the report’s Current Status, what each status means while ProScreening processes the background check, and required actions you may need to take.
Viewing And Working With Report Statuses
Follow the steps below to review a background check report’s progress and take next actions.
Locate the report’s Current Status in the ATS to determine where the background check is in the process.
If the status is Processing, select View Report in Progress to review the pending report.
If the status is Complete, complete the FCRA Certification before viewing the report.
If the status is Error, you will need to contact ProScreening Customer Support. Please follow the steps listed here.
If the status is Background Check Authorized for more than 3 hours, you may want to contact us about the report status.
If the status is Expired, reorder the background check by repeating the ordering process. There are no charges until processing begins.
Important: You must complete the FCRA Certification before you can view a completed report.
Status Definitions

Awaiting Applicant Authorization
Indicates a request for a background check was sent to the candidate, but authorization has not been provided yet.
The candidate must provide authorization before ProScreening can begin processing.
Background Check Authorized
Indicates the candidate has authorized the background check and it is ready to be processed.
If this status remains for more than 3 hours, you may want to contact us about the status of the report.
If the candidate declines the electronic signature process, the report will remain in this status until a hand‑signed form is received.
Processing
Indicates ProScreening is actively working on the background check report.
While in this status, you can select View Report in Progress to view the pending report.
Refer to section 3 of this guide for more information.
Complete
Indicates the background check is complete and ready for review.
The requester will receive an email notification when the report is complete.
You must complete the FCRA Certification before viewing the report.
Error
Indicates the background check order encountered an error.
You will need to contact ProScreening Customer Support. Please follow the steps listed here.
Expired
Indicates the background check invitation expired before the candidate authorized the background check.
The invitation is active for 1–14 days depending on your settings.
Candidates can no longer access the invitation when the status is listed as Expired.
If a background check is still needed, reorder by repeating the ordering process. There are no charges until ProScreening begins processing.
Reporting/Troubleshooting/Best Practices
Background Check Authorized for over 3 hours: You may want to contact us about the status of the report. If the candidate declines the e‑signature process, the report will remain in this status until a hand‑signed authorization is received.
Processing visibility: Use View Report in Progress to see details while the report is being processed.
Error handling: If you see Error, contact ProScreening Customer Support and follow the steps provided.
Expired invitations: Invitations are active for 1–14 days. If the invitation expires, submit a new order. There are no charges until processing begins.
Certification requirement: You must complete the FCRA Certification before viewing a completed report.

What does Awaiting Applicant Authorization mean?
