Overview
This article is for all users who review applicants in the ATS. It explains how to access the Incomplete Apps tab, identify incomplete applications, process or update them, use timeline and mass update tools, and review other applications for the same applicant.
Important: Processing applicants on this tab is optional; it is an additional tool for finding qualified candidates when your applicant pool is small.
How To Use The Incomplete Apps Tab
Follow the steps below to access and work with incomplete applications.
Access The Incomplete Apps Tab
Admin users: An Admin user can enable access to this feature at no cost. Contact the Support Team.
Manager users: If you do not see the tab, it may not be enabled, or you may not have access. Contact an Admin user or the Support Team.
From the Navigation Menu, select the Applicants icon and choose Incomplete Apps.
Note: Admin users can restrict manager access to this tab. Assigned users cannot view it.
Identify And Review Incomplete Applications
The Incomplete Apps tab lists applicants who have not finished the online application.
Each applicant on this tab is tagged Incomplete (red tag).
You can see which sections are complete; some sections will be missing based on your full application setup in the ATS.
Open Or Archive An Incomplete Application
Use the Action button next to an applicant to select View or Archive.
You can also open the applicant and use additional actions within the record. Available actions (limited compared to complete applicants) include:
Set to Complete: Moves the applicant to the complete pool, regardless of how much is filled out, so hiring teammates can access them.
Change Applicant to Internal (External) & Send Invite: Re-invites the applicant to complete the correct application type. Available only if the Internal Job Board is enabled.
Archive: Removes the applicant from the default Active list. Archived applicants can still complete applications.
Share Application via Email: Sends selected information to people involved in hiring who are not system users.
Send Email/Text to Applicant: Opens the Communication Inbox to message the applicant.
Important: We do not recommend general archiving of incomplete applications because archived applicants will not appear by default.
Filter And Search Incomplete Applicants
Use the side panel filters on this tab to filter only incomplete applicants.
Look for the red Incomplete tag to confirm the record is incomplete.
Track History In Timeline
The Timeline shows the history of the incomplete application, including notes, status changes, and actions.
You can add notes the same way you do on a completed application.
If you switch an application between complete and incomplete, the Timeline follows the application.
Mass Update Incomplete Applicants
At the bottom of the Incomplete Apps tab, select applicants using the checkboxes to mass update them.
Choose bulk actions such as update Status, Archive, or Send Email. You can also use Select All or Deselect All.
The Status dropdown contains statuses specific to incomplete applications. Complete application statuses do not appear here.

View Other Applications For The Applicant
In the Other Applications section, view both complete and incomplete applications that the applicant has with your company.
Select any application to open it.
After switching views, sidebar filters return to their default settings.
Note: There are three possible views for this section, so your screen may look different.
Reporting/Troubleshooting/Best Practices
Use the Incomplete Apps tab when your applicant pool is small to identify quality candidates who did not submit an application.
Keep incomplete and complete statuses separate for organizational and reporting purposes; both lists are customizable and can be made identical.
Allow access selectively. Admins can restrict manager access to this tab to control visibility.
FAQs
If I make an incomplete app complete, can I reset it to incomplete again?
Yes. Use Actions > Reset to Incomplete to move it back. Applicants can still complete missing information after a manual Set to Complete. The teammate who set it to complete will receive an email if the applicant changes their application.
Why would I want access to incomplete applications?
It helps you find potential quality candidates when applicant volume is low. You can review partial information and reach out for more details or to schedule an interview.
Why do I have many incomplete applications?
There can be many reasons. If you are getting enough qualified applicants, it may not be a concern. If not, reviewing this area can reveal process improvements. Please contact our Support Team to review your specific situation.
Why do incomplete apps have different statuses than complete apps?
The lists are separate for organization and reporting. Both are customizable, and you can make them identical if desired.
